Phase 01 — Discover

The Audit. Before anything gets built.

We never propose automation without understanding your business first. This phase is completely free and genuinely useful — even if you never hire us.

What happens in the audit

  • 30-minute discovery call — you walk us through your business, pain points, and goals
  • Stack questionnaire — we get a list of every tool, subscription, and workflow you run
  • Workflow mapping — we identify the 3–5 workflows costing you the most time/money
  • Gap analysis — where automation will give biggest ROI (and where it won't)
  • Written audit report — delivered within 5 business days

What you get

  • Detailed audit document (5–12 pages depending on complexity)
  • Prioritized list of automation opportunities with expected ROI
  • Tool consolidation recommendations (if applicable)
  • Tech stack recommendations for gaps
  • Fixed-scope proposal if you want to move forward
  • Zero pressure to hire us. Seriously.
Phase 02 — Design

The Blueprint. The plan before the build.

Once the audit is delivered and you've decided to move forward, we enter design. This is where great projects are separated from expensive failures.

📐

Architecture diagram

Every automation gets a visual flow diagram showing triggers, conditions, actions, and fallback paths.

📋

Written specifications

Each workflow has a written spec that your team and ours can review and approve before any code is written.

🎯

ROI projections

We project hours saved, errors prevented, and revenue impact for each workflow — based on past benchmarks.

📅

Milestone-based timeline

Fixed milestones tied to deliverables. Payment is milestone-based, not time-based.

🔧

Tool stack finalized

Specific platforms chosen and locked. No "we'll figure it out during build" decisions.

💰

Fixed-scope quote

Total project cost, payment schedule, and scope boundaries — all in writing. No surprises.

Phase 03 — Deploy

The Build. Transparent, iterative, documented.

This is where most agency projects go dark for 6 weeks then deliver something. We don't operate that way. You see progress every week.

How we communicate during build

  • Shared project board (ClickUp or Notion) — see every task, status, and blocker live
  • Weekly Loom video updates — 5-minute walkthroughs showing what's built and what's next
  • 30-minute weekly sync — review progress, address questions, align on decisions
  • Slack or WhatsApp channel — async questions answered same-day
  • No 'mystery weeks' — you always know what's happening and why

Our quality standards

  • Sandbox first — every workflow built and tested in isolation before touching production
  • Edge case testing — we break things on purpose to make sure they fail gracefully
  • Error handling built in — alerts, retries, and fallback paths on every critical flow
  • Documentation as we go — flow diagrams, SOPs, and Loom videos created during build
  • Security review — data handling, authentication, and access controls audited
Phase 04 — Sync

The Scale. Because launch is the beginning.

Most agencies disappear after launch. We stay close for the first 30 days, optimize based on real usage, and offer optional retainers for ongoing work.

🛟

30-day hypercare

Weekly check-ins, bug fixes, small adjustments, and team question answering — all included for 30 days post-launch.

📊

Performance tracking

We measure every workflow against the ROI we promised — hours saved, errors prevented, revenue impact.

🎓

Team training

Live training sessions (recorded), written SOPs, and a 'cheat sheet' for everyday use. Your team owns the system.

♻️

Optimization retainer

Optional monthly retainer for ongoing optimization, new workflows, and proactive monitoring — starts at ₹15K/mo.

— Transparency

The tools we use to run your project.

Full transparency into how we work internally — because how we run our own ops is a preview of how we'll run yours.

— Process FAQ

Common questions about how we work.

How long does a typical project take?
+
Starter projects (1-3 workflows): 3–4 weeks. Growth projects (standard packages): 6–8 weeks. Enterprise (full stack rebuild or complex integrations): 10–16 weeks. We'll give you a firm timeline with your blueprint in week 2.
What's your payment schedule?
+
Milestone-based, always. Typical split: 30% on kickoff after blueprint approval, 40% at mid-project milestone (usually core build complete), 30% at final delivery after 30-day hypercare. No upfront full payment, no hidden fees.
What if the scope changes mid-project?
+
Small additions (under 5% of scope) we typically absorb. Bigger changes get a written change order with updated scope, timeline, and cost — you approve before we proceed. No "surprise bills" ever.
Do you sign NDAs?
+
Yes, absolutely. For every client. We can sign yours or use our mutual NDA template. Data security and confidentiality are core to our work.
What happens if we don't like something you build?
+
Built into our process: every workflow is approved at the blueprint stage before we build. If we build something and it doesn't match the blueprint, we rebuild it at no cost. If the blueprint is right but your needs changed, we scope a change order.
Can we work with your team directly?
+
Yes. Every client has direct access (via Slack or WhatsApp) to the automation specialist and developer on their project — not just account managers. You talk to the people actually doing the work.
What if we want to hire you for ongoing work?
+
We offer monthly retainers starting at ₹15,000/month for ongoing optimization, monitoring, and new workflow builds. Most of our clients convert to retainer after launch — but it's always optional and month-to-month.
